The Executive/Sales Assistant will provide essential support to the Executive Director, while training to be a sales person with gradually independent sales and marketing efforts. The successful candidate will have prior experience either as an Administrative or Sales/Office Assistant, and be a trustworthy, self-motivated, exceptionally organized team player with excellent time management skills that can anticipate and manage the needs of the executive.

This position will work in a combination of our Rockville MD office and an Olney MD home office, with occasional potential for working on site at events or remote work. The successful candidate should be willing and able to travel domestically and internationally. This position will require a successful candidate to be able to offer flexible hours in order to better support your direct supervisor and manage client communications.

Responsibilities

  • Management of your supervisor’s schedule including scheduling meetings and calls, updating calendars, and managing overall communications both office related and personal. This will include daily & weekly review of the agenda as well as assistance in keeping your supervisor apprised of imminent meetings and calls.
  • Accompany your supervisor throughout the day, closely observing their activities to monitor their requirements and promptly execute necessary actions upon hearing them mentioned during phone calls or in face-to-face conversations. Additionally, proactively anticipate their needs and prepare the appropriate next steps in advance.
  • Maintain a positive, energetic, and enthusiastic attitude throughout shifting priorities
  • Assist in management of email inbox for supervisor, including routing emails to other team members, drafting responses to inbound client inquiries, contracts, etc. and tagging for appropriate follow up.
  • Perform various administrative tasks and sales related support to your supervisor including drafting budgets, proposals, confirming availability for talent, and management of expense reports.
  • Personal tasks, organization, and coordination for your supervisor
  • Office related and personal errands for your supervisor
  • Travel planning for your supervisor
  • Submit expense reports
  • Other duties as assigned

Requirements

  • A cool-headed problem solver with a level head in stressful situations
  • Friendly, warm, and helpful personality
  • Trustworthy and discreet with confidential information. Must have excellent personal references.
  • 2-3 years experience in an Administrative or Sales Assistant role
  • Highly detail-oriented with exceptional organizational skills & the ability to anticipate the needs of your supervisor
  • Exceptional and precise verbal/written communication and interpersonal skills, including warm friendly phone communication
  • Ability to manage multiple ongoing projects, establish priorities, and adjust to rapidly evolving priorities
  • Must possess the ability to self-motivate in a multifaceted, high-pressure environment
  • Strong technical aptitude with excellent typing skills and knowledge of Google and Microsoft Office Suites
  • Knowledge of Salesforce is not required but is a plus
  • Technical aptitude with wireless networks, printers, etc. is not required but is a plus

Job Type: Full-time

Pay: $57,000.00 - $67,000.00 per year
